When you submit a form on our website, including applications to become a mentor or mentee, requests to enroll in the H.O.P.E. Elite Program, or requests for an Elite Workshop, we may collect:

• Full name
• Email address
• Phone number
• School or organization affiliation
• Any additional information you choose to provide in form fields

Automatically Collected Information

When you visit hopeleadershipgroup.org, basic technical data may be collected automatically through standard web analytics, including browser type, device type, pages visited, and general geographic region. This information is used in aggregate and is not linked to any individual.

We use the information we collect solely to support the mission of H.O.P.E. Leadership Group. Specifically, we use it to:

• Process program applications and workshop requests
• Communicate with participants, families, and partners about our programs
• Follow up on inquiries submitted through our website
• Send organizational updates and program information to individuals who have expressed interest
• Fulfill donor acknowledgment and tax receipt obligations

We do not sell, rent, trade, or otherwise share your personal information with third parties for commercial purposes.

If you make a donation through our website, your transaction is processed by a third-party platform (Zeffy). We receive basic donor information such as your name, email address, and donation amount for the purposes of acknowledgment and legally required record-keeping. All financial transactions are processed securely by our payment processor. We do not store credit card or payment information on our systems.

Our website uses the following third-party services that may collect or process data on our behalf:

• Tally.so – used to power our program application and contact forms
• Zeffy – used to process charitable donations
• YouTube – embedded video content hosted by Google/YouTube

Each of these services operates under its own privacy policy. We encourage you to review their policies if you have questions about how they handle your data.

We retain personal information only as long as necessary to fulfill the purposes described in this policy, or as required by applicable law. Program application records are retained for the duration of the program relationship and for a reasonable period thereafter. Donor records are retained as required for tax and compliance purposes.

H.O.P.E. Leadership Group serves middle and high school student-athletes, many of whom are under the age of 18. We do not knowingly collect personal information from minors without verifiable parental or guardian consent. Applications submitted on behalf of a minor should be completed by a parent or legal guardian. If you believe we have inadvertently collected information from a minor without appropriate consent, please contact us immediately at the address below so we can address it promptly.

You have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information, subject to any legal retention obligations
• Opt out of communications from us at any time by contacting us directly

Information We Collect Through the App

When you create an account or use the app, we collect:

• Name, email, phone number
• School, sport, grade/year, and (for mentees) parent/guardian contact information
• Daily tracker responses, assessment answers, and weekly check-in notes
• Login and account activity

How We Use It

This information is used to support mentorship, track progress, and enable communication between mentees, mentors, parents, and program staff. Access is role-based: mentees see their own data, mentors see their assigned mentees, parents see their linked child's data (view-only), and admins oversee the full program.

Account Deletion

Users may request deletion of their account and associated data at any time within the app. Mentor and parent accounts are deleted immediately upon confirmation. Mentee deletion requests are reviewed by an administrator before data is removed, given that many of our mentees are minors.

Data Storage

App data is stored and processed using Base44, our application platform provider, under industry-standard security practices.

Children's Privacy

As noted above, many of our mentees are minors. Mentee accounts are created and managed with parent/guardian involvement, and parents retain visibility into their child's app activity through a linked parent account.

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we do, we will update the effective date at the top of this page. We encourage you to review this policy periodically.
